Replying, done right

Should dentists respond to Google reviews?

The short answer: yes, to all of them. 80% of consumers say they are more likely to choose a business that responds to its reviews, and the response to a negative review is read more carefully than the review itself. The catch for a dental practice is privacy: a reply must never confirm the reviewer is a patient or discuss their care, even when they have described it themselves. Reply warmly, in general terms, and take specifics offline.

The reply patterns that work

Every good reply does the same three things: acknowledges, speaks to the practice's general standards, and stays out of specifics. What changes is the temperature.

Positive review

Short, warm, personal in tone but generic in content. Thank them, reflect one non-clinical thing they mentioned, sign off with a name.

"Thanks so much for the kind words. We are lucky to have a team that cares this much, and I will make sure they see this. Sarah, practice manager"

Negative review

Calm, brief, no defensiveness, no clinical detail, no confirmation they attended. Speak to standards, offer a direct offline path, and stop. You are writing for the hundred future patients who will read it, not for the reviewer.

"We are sorry to read this. We take feedback seriously and would like to understand what happened. Please contact me directly on [phone] or [email] so we can look into it properly. Sarah, practice manager"

Review that discusses their own treatment

The reviewer can say whatever they like about their care. You still cannot. Reply exactly as above, general terms only, and do not repeat, confirm or correct any clinical detail they mentioned. If their review is glowing and clinical, resist the urge to amplify it in your own marketing: republishing clinical praise in your advertising is where the National Law's testimonial prohibition applies. It can stay on Google; it cannot move into your ads.

Common questions

Should a dental practice reply to every Google review?

Yes. Replying to positive reviews reinforces the relationship and shows searching patients an engaged practice. Replying to negative reviews shows how you handle problems, which readers weight heavily. An unanswered one-star review reads very differently to one with a calm, professional response under it.

Can we confirm the reviewer is a patient when we reply?

Treat the answer as no. Health information is protected, and whether someone attends your practice is itself sensitive. Even when the reviewer names themselves, the safe pattern is to reply in general terms without confirming attendance or any detail of care. Thank them, speak to your general standards, and move anything specific offline.

How should we respond to an unfair or false negative review?

The same way you respond to a fair one: calmly, briefly, in general terms, with an offline path. You are writing for future readers, not the reviewer. If the review breaches Google's policies, for example it is fake, spam or harassment, request its removal through your Business Profile. Do not argue the clinical facts in public, ever. Even a completely accurate defence can disclose health information.

Who should write the replies?

Someone calm who is not the treating clinician of the person involved, working from agreed templates. The worst replies are written in the heat of the moment by the person who feels accused. Many practices hand this off entirely, which also guarantees replies actually happen.

Do review replies help with Google rankings?

Google's own guidance to businesses says responding to reviews shows you value customers and their feedback, and an actively managed profile is consistently associated with stronger local visibility. Treat ranking effects as a bonus. The reason to reply is the 80% of readers who prefer a business that does.
